DIAM: Shipping & Receiving Procedures
Due to COVID-19, DIAM Shipping & Receiving facility is open 5 days each week, Monday-Friday, with a 3 person staff on-site at all times.
- Cut off for shipping parts/packages is 1 pm.
- Package pickup cut off is 4 pm.
- Outlined below are specific times and documentation requirements for picking up packages non-stock or inventory – please read this information carefully.
All associates must follow the Shipping & Receiving rules and timing requirements below to ensure safe and productive operations to meet our customers’ needs.
Shipping & Receiving Facility Rules
- Associate must provide via e-mail to: diam.shipping@denso.diam.com with required documentation prior to entering DIAM S/R facility.
- All associates entering S/R facility must wear a mask.
- For entry into S/R facility must KNOCK ON DOOR/RING OUTSIDE BUZZER.
- No more than 3 personnel in S/R office at a time. No more than 5 personnel in S/R warehouse at a time.
- Personnel using facility equipment and stations must clean prior to leaving S/R facility (sanitizer provided).
- Cut off for shipping parts/packages is 1 pm.
- Package pickup cut off is 4 pm.
Shipping and picking up parts require the above procedures.
INVENTORY SHIPMENTS:
S/R Personnel additional procedures
- S/R Personnel office staff will audit Sales Associates shipper forms provided via e-mail.
- Sales must provide a 2-hour time window. (To verify pull and stage parts by S/R Personnel)
- S/R Personnel will take audited shipper form to outbound carrier rack bin in warehouse. Bin will be Labeled “Inventory Parts Pull for Shipping”.
- Warehouse Personnel will match shipper provided form in rack bin with physical labeled parts in warehouse.
- Warehouse Personnel will stage parts in front of the Sales groups rack locations in warehouse with audited shipper form stapled to the package and or pallet. Place cartons on cart in front of their rack locations. Carts/Pallets will have tape dispensers and knives to assist in opening and labeling contents. Boxes and bubble wrap is available for use in warehouse.
- Warehouse Personnel will enter S/R office and alert S/R office staff when parts are pulled and available for shipping.
- Office staff will notify Sales Personnel via-email parts are available for them to ship and label their parts according to customer requirements.
- Sales personnel will knock on S/R office door/ring outside buzzer prior to entering the facility.
- S/R personnel will release roll up door and allow them to enter the facility to label and package their parts for shipping.
- Sales personnel must knock on door entry from warehouse to office before entering to ensure no more than 3 personnel are in the S/R office at a time.
- Sales Personnel will place audited shipper form with tracking# in blue folder located next to the shipping computer in S/R office. Also on this Computer, they will print labels for their shipments.
- Sales Personnel will attach shipping labels to the packages in the warehouse and will place the packages in correct carrier locations.
- Pallet shipments: Sales Personnel will leave audited shipper form on labeled pallet for S/R Warehouse Personnel.
- Warehouse S/R Personnel will bring audited shipper form to S/R office to schedule a carrier for pickup.
NON-STOCK PICKUP PICK-UP ADDITIONAL PROCEDURE:
Associate pickup procedure additions:
- Associate picking up freight from S/R facility will e-mail Sendsuite notification to S/R office staff 30 minutes prior to arrival at S/R Facility.
- If different associates is picking up a package on your behalf, you must provide associates name.
- S/R office staff will pull package and scan out thru Sendsuite system as delivered.
- S/R Personnel will place package on cart located just inside warehouse rollup door.
- Associate will knock on S/R office door/ring outside buzzer prior to entering Facility.
- S/R personnel will open roll up door and allow them to enter warehouse and pick up their package on cart.
NON-STOCK SHIPPING PROCEDURE:
- Associate will complete Non-Stock Domestic or Non-Stock International Notification Form 1 hour prior bringing package for shipping to S/R Facility.
- S/R Personnel will review documentation for accuracy.
- If no issues arise DIAM associate will bring parts to S/R facility.
- Associate will knock on S/R office door/ring outside buzzer prior to entering S/R facility.
- S/R personnel will open roll up warehouse door and allow them to enter warehouse to place their package/part on cart for shipping with completed Domestic/International form.
- S/R warehouse personnel will package and supply weight and dimensions to S/R office staff.
- S/R office personnel will create label for domestic shipments.
- S/R office personnel will create label and all necessary export documents needed for shipping.
