Kronos Outage – FAQs

As you know, Kronos has been hit by a cyber-attack and is currently unavailable. Kronos is used for timekeeping (hours worked, PTO, leave, etc.) at DMAR, DMAT, DMTN, DLNT, DMCN, DSCN, and all DMMI and DPAM locations. 

This FAQ document will answer questions as we navigate the Kronos outage together.

Please note: these FAQs are for all impacted companies EXCEPT for DPAM. There are some slight differences with DPAM Payroll.

Work with your location’s HR/Team Member Solutions/Associate Relations team to submit and receive answers to any questions.

Homebase FAQ  

1) Which associates should be using Homebase? 

Only Team Leaders and Non-Exempt associates should use Homebase to record their clock in/out times. 
 

2) Can an associate use the manual time sheet to record their time, instead of Homebase? 

All Team Leaders and non-exempt associates are strongly encouraged to use Homebase to track their clock in/out times.  This will help ensure accuracy and save time spent manually inputting the data into EPIQS.  A manual time sheet should only be used as a last resort to track clock in/out times. 
 

3) I’m a specialist—do I need to register in Homebase? 

No. All non-Team Leader exempt associates (specialist, engineers, etc.) should submit PTO and other time off requests to their leader using the manual time sheet. Your leader will enter that information into EPIQS. 
 

4) How do Team Leaders and non-exempt associates register for Homebase? 

If you have not already received an invitation to join Homebase by either text or email, you can click here to submit your information.  Within a few hours, you will be sent a registration email or text and will create an account in Homebase using either an internet browser or the mobile app. 
 

5) How do I input PTO or other leave in Homebase? 

Associates should record PTO requests or other leave using the manual time sheet.  DO NOT use Homebase to record/request PTO or leave.
 

6) I’m being asked in Homebase about my availability.  What should I do? 

Ignore that option.  It is an additional feature of Homebase that DENSO is not using. 
 

7) Should associates approve their time in Homebase? 

That feature is not available in Homebase.  The application only records your time in and time out.  Your Team Leader will then review and approve your hours in EPIQS. 

8)  We have some non-exempt office associates who work from home a portion of the week.  Can they use Homebase to clock in/out?

Associates using Homebase to clock in/out should be on campus before recording their time.  If working from home, please discuss with your leader the best way to track your time.

9)   Do associates need to clock in/out for lunch breaks?

Associates do not need to clock in/out for lunch breaks using Homebase.

EPQIS / DOMO FAQ

1) How are the hours in EPIQS populated? 

If non-exempt associates and Team Leaders are using Homebase, the data will be uploaded to EPIQS every 15 minutes.  Otherwise, non-exempt associates will start with zero hours each day and exempt associates with eight hours. 
 

2) What do I use EPIQS / DOMO for? 

These two pieces of software are collecting data from Homebase.  The DOMO Time and Attendance dashboard is used by leaders to view associate work hours.  Links in this dashboard will pull up an EPIQS editor to update associate hours.  The editor can only be accessed via the links in DOMO.  Logging into both systems is required to make changes. Leaders will review, correct and approve all hours through EPIQS.  Please contact your TMS/AR representative if you do not have access.
 

3) There are Team Leaders and Managers on PTO during the holidays.  How many levels can approve an associate’s time? 

Three levels of an associate’s leadership chain can input and approve hours. 
 

4) If an associate elects to only use the manual time sheet, how often should a leader input that data into EPIQS? 

It is critical that the data is updated to accurately compensate our associates.  We know leaders are extremely busy, but this should be a priority and built into your daily work.  Do not wait until multiple days are accrued before reviewing for approval. 
 

5) How do we code overtime? 

If additional time is added directly into EPIQS, then the totals hours would need to be reviewed and the overtime pay code selected as needed. 
 

6) We have associates working four 10 hour days.  How should we code day five? 

As long as the total hours is 40 hours for the four days, then the fifth should have zero hours and not need a code.  
 

7) How long does it take for an associate’s Homebase clock in/out times to be available in EPIQS? 

Please allow 15 minutes for the Homebase data to be uploaded into EPIQS/DOMO. 
 

8) How do associates record no pay no penalty? 

No Pay No Penalty has been added as a pay code in EPIQS. 
 

9) How do you code Flex and Extended Flex? 

Flex and Extended Flex codes are being added into the pay code drop down. 
 

10) Which browsers work best with EPIQS?

EPIQS works best with Chrome and Edge browsers.

11) What if I cannot access DOMO?

First, try resetting your DOMO password.  Both the EPIQS and DOMO links can be found on the DENSO Portal. Please contact TMS/AR if you cannot log in.

12)   Is it possible to input time for each associates per week or pay period, instead of per day?

This feature is not available at this time.   It is very critical to prioritize these updates daily to improve accuracy and efficiency.

13)   Please explain the approval process.

After you enter an associate’s time, you can either Save or Approve.  By saving, you can go back and adjust an associate’s time or pay codes.  If you Approve, the records are saved and approved for pay to be made.  To make unexpected changes, you can click the Approve button again to Unapprove until the records are locked.  Timing for Payroll upload is based on the pay period, but typically is the day after the current pay period ends. (ex: if pay period ends on Sunday, upload occurs at end of day Monday)  This timing is DIFFERENT because of the holiday.  All records must be uploaded on Sunday, December 26 for December 31 payroll to be made.

14)    Does holiday time need to be added to an associate’s time?

Eight hours of Holiday Pay will be auto loaded into EPIQS.  If hours come over from Homebase, they will be populated as Double Time hours. If an associate is not using Homebase to punch in/out, then the leader will need to code hours worked on the holiday as Double Time in EPIQS.  Saturday, December 25 and Saturday, January 1 are not the observed holidays.

15)   Is it possible to see future dates, beyond the current pay period?

At this time, the only schedule leaders can see is the current day and previous work days.  The next day should be uploaded to EPIQS by 12 a.m. that day.

16)    Is there a way to visualize the Approved/Unapproved status in EPIQS?

This feature has been added to the filter menu.  To access, click the +(plus) sign next to filters and add Record Status.  It should appear in your filter list.

17)   If applicable, should leaders add time for clean room entry, PPE, etc.

For leaders with associates who receive pay for donning and doffing (clean room/shoe change/etc), this extra time will now be automatically added in EPIQS.  The change is retroactive to the previous pay period (Dec. 26 – Jan. 8) and moving forward.

If you added extra time for associates in EPIQS during the previous pay period, the Kronos Outage Team is cross referencing approved time and will make any corrections needed.  If you did not add extra time, EPIQS will automatically add it.

This applies to DMTN only.

18)   Is there a way to see PTO balances?

At this time, no.

19)    Some of our new associates are not available in EPIQS.  Will they be?

Data is imported from Fusion into EPIQS each night at 8:30 p.m.  Reach out to TMS/AR to help with Fusion related associate data entry.

20)    Is shift premium being paid or do leaders need to enter that into EPIQS?

Payroll is handling any applicable shift premiums based on what is input into EPIQS.

21)  Are temporaries in the system and should their time be reviewed and approved?

Temporaries at DMMI and DMAR are available in EPIQS.  Their time should be reviewed and approved at the same time as other associates.  These temporaries are not in Homebase, so their time should be tracked with the manual tracking sheet.  All other locations DO NOT have temporaries in EPIQS.  These temporaries should follow the process established at their agency.

22)  Can I enter my own time?

No. This system requires that all work time, PTO, leave, etc be entered by one of the three leader levels above you.

23)  Can I access DOMO / EPIQS while working from home?

You must be connected to the DENSO internal network, either on-site or through VPN. If you have access to nice-net or the DENSO Portal, EPIQS should work.  DOMO is accessible from any network connected device.  Reach out to NAITS if you are having network access issues.
